How to Route WhatsApp Calls to Multiple Extensions at Once

If you’ve already enabled WhatsApp SIP Calling in 3CX, the next question is usually: where should calls coming from WhatsApp actually go?

One of the most practical options for a small-to-medium team is routing it to a Ring Group. With this setup, an incoming WhatsApp call rings several extensions at once (or in sequence), and whoever’s available can simply pick up.

This article covers how it works, how to set it up, and tips for choosing the right ringing strategy for WhatsApp Call traffic.

Why Route to a Ring Group? #

Before diving into setup, it’s worth knowing when a Ring Group is actually the right choice.

In general, 3CX offers several routing destinations for WhatsApp Call, such as an Extension (straight to one person), a Ring Group (rings several people), a Call Queue (a queue with SLA reporting), and an IVR (automated voice menu).

A Ring Group is a good fit if: #
  • Your team is small to medium-sized (usually under 8–10 people).
  • Every team member needs to know a call is coming in, without a formal queue.
  • You don’t yet need detailed SLA/wait-time reporting like a Call Queue provides.
  • WhatsApp call volume isn’t very high on a daily basis yet.

If call volume is already high and you need a fairer distribution across agents plus full performance reporting, consider a Call Queue instead of a Ring Group.

Ring Group vs Call Queue — What’s the Difference? #

A lot of people still mix these two up, so here’s a quick summary:

Think of a Ring Group as “every phone on the team’s desks rings at once,” while a Call Queue is more like a structured “call ticket counter.”

Prerequisites Before Setup #

Make sure these two things are already in place:

  1. WhatsApp SIP Calling is already active in your 3CX, and the SIP Trunk for your WhatsApp Business number is configured and successfully receiving calls.
  2. The destination Ring Group has already been created in 3CX, complete with its list of member extensions.

If either of these isn’t ready yet, set it up first before moving on to the routing steps.

Steps to Route a WhatsApp Call to a Ring Group #

Here’s the general flow:

  1. Go into the 3CX Admin Console, then open the SIP Trunk that represents your WhatsApp Business number.
  2. Find the Default Destination (or Route Incoming Calls To) setting on that trunk.
  3. Choose Ring Group as the destination type, then select the Ring Group you’ve already prepared.
  4. Save the configuration.
  5. Do a test call from WhatsApp to your business number, and confirm every extension in the Ring Group starts ringing.

If you’d like an automated greeting before the call reaches the Ring Group (e.g. a welcome message), you can insert an IVR/Digital Receptionist between the trunk and the Ring Group, then point that IVR menu option to the intended Ring Group.

Choosing the Right Ringing Strategy #

Once the Ring Group is connected, the next important step is deciding its ringing strategy, since this heavily affects the experience of a customer calling in over WhatsApp:

  • Ring All

Every member extension rings at the same time. Good if you want the fastest possible response and your team is small enough that everyone’s phone/softphone ringing at once isn’t a problem.

  • Ring in Sequence

Rings one extension at a time in a defined order. Good if there’s a priority order, e.g. the primary CS agent first, then a backup.

  • Hunt by Threes

Rings several extensions at once in small groups, moving to the next group if nobody answers.

Since WhatsApp calls typically come from a customer who’s already actively chatting and expecting a fast response, Ring All or Hunt by Threes are generally more realistic choices than Ring in Sequence.

Don’t forget to also configure:

  • Ring timeout

How long the Ring Group rings before moving to the fallback.

  • Fallback destination

Where the call should go if nobody answers (voicemail, another extension, or a Call Queue).

Tip: Use a Dedicated WhatsApp Ring Group #

If your team handles both regular office calls and WhatsApp Call at the same time, consider creating a separate Ring Group just for WhatsApp instead of merging it with your regular phone Ring Group.

Benefits: #
  • Easier to monitor WhatsApp channel performance specifically via Call Reporting.
  • You can assign different team members if your WhatsApp agents are actually a different team from your regular phone agents.
  • Makes it easier to evaluate and adjust the ringing strategy without disrupting an already-running office phone flow.

Monitoring WhatsApp Calls in a Ring Group #

WhatsApp calls coming through a Ring Group are still logged in 3CX Call Reporting just like any other call, so you can monitor:

  • Number of incoming calls per day/hour.
  • Which extension answers most often.
  • Unanswered (missed) calls.

If Call Recording is enabled at the system or extension level, WhatsApp call recordings are also saved automatically and can be replayed for quality control purposes.

Common Troubleshooting #

Some issues that commonly come up when routing WhatsApp Call to a Ring Group:

  • The Ring Group doesn’t ring at all when a WhatsApp Call comes in

this is usually because the WhatsApp SIP Trunk’s Default Destination isn’t pointed to the correct Ring Group. Double-check the trunk’s settings.

  • Calls ring late or don’t reach some members

check the presence status of the Ring Group members. If someone’s status is Away or DND, they may be skipped depending on the ringing strategy settings.

  • Calls go straight to voicemail

the ring timeout is likely too short, or the fallback destination is set to voicemail by default.

Routing WhatsApp Call to a Ring Group is a simple, fast way to make sure customer calls over WhatsApp get an immediate team response, without needing a complex queue setup. It’s a good fit for small-to-medium teams that prioritize response speed.

If your WhatsApp call volume keeps growing over time and you start needing more detailed performance reporting and a fairer distribution of calls across agents, consider switching to a Call Queue as your next step.
