What is an IP Phone? An IP Phone (Internet Protocol Phone) is a physical telephone device that uses the internet network to send and receive voice calls. Unlike a conventional landline (PSTN) that runs on analog copper cabling, an IP Phone converts the human voice into digital data and sends it as data packets over a LAN cable or Wi-Fi.
The core technology behind an IP Phone is called VoIP (Voice over Internet Protocol). These devices are very popular in business and office environments because they come with many advanced features that a regular analog phone simply doesn’t have.
Key Features of an IP Phone #
- Uses a LAN/Wi-Fi Connection: On the back of the phone there’s a data cable port (RJ45) just like a computer, instead of the small telephone cable port (RJ11).
- Has Its Own IP Address: Because it’s connected to a data network, every IP Phone has its own IP address, just like a computer or smartphone.
- Digital Display: Most models have a screen (monochrome or color) that shows menus, contact names, call logs, and even the presence status of colleagues.
Advantages of an IP Phone over a Regular Phone #
- Cheaper Long-Distance Calls: Calls between company branches — even across different countries — become free, since they run over the internet connection you already have.
- Rich Business Features: Supports call transfer, call hold, multi-party conferencing, and call recording.
- High Flexibility: You can unplug an IP Phone from your desk at the Jakarta office and plug it back in at home or at the Surabaya branch, and your extension number stays exactly the same — no reconfiguration needed.
- System Integration: Can be connected to computer software (like 3CX) or your company’s CRM system, so caller information appears directly on the agent’s screen.
